Choosing Ring Tones and Hold Music: The Small Detail That Affects Call Perception
Before a caller hears a person, they hear a ring tone, then music, then an announcement. Most organisations treat this as a minor configuration detail set once and never revisited. Callers do not make that judgement. Hold music that is abrasive, silence that feels like a dropped call, and an announcement that is too fast to follow all shape how your organisation is perceived long before anyone answers.
Silence Is the Worst Option
An unexplained silence reads as a failed call. Many callers will hang up and try again, and some will assume the number is disconnected. If the platform cannot play music, a periodic comfort announcement at minimum tells the caller the call is still connected and gives them an option such as pressing a key to leave a callback request.
What Good Hold Music Sounds Like
- Instrumental, not vocal — Lyrics compete with any announcement a caller may need to hear
- Consistent, moderate tempo — Music that is too fast increases perceived wait time
- Roughly 30 to 60 seconds of variety — Long loops sound repetitive; short loops feel repetitive sooner
- No abrupt dynamic changes — A sudden loud passage reads as an interruption
- Appropriate licensing — Commercially licensed for business telephone use
Matching Music to Wait Time Expectations
Caller tolerance for holding depends on the purpose of the call. A caller trying to reach a person will tolerate around fifteen to twenty seconds comfortably. A caller placed on hold by an automated system, where they expected self-service, tolerates much less. Queues aimed at self-service deflection should therefore avoid long music stretches and instead offer a clear way back to the main menu.
On-Hold Announcements Add Real Value
An announcement layered over hold music at an interval does several useful things at once. It confirms the call is live, sets an expectation of the wait, promotes a self-service alternative such as an extension for urgent matters, and reduces perceived wait time more than longer music does. Keeping it to one or two sentences per announcement is what makes it effective.
A practical announcement set
- Your organisation name and a short identification, so the caller knows they reached the right place
- An estimate of the expected wait
- An option to press a key to return to the menu or to leave a message
- A short mention of a self-service option relevant to common enquiries
Ring Tone Selection Matters Less Than Consistency
Ring tone choice is a genuine personal preference and imposing one is often counterproductive. Two things are worth standardising: a distinct pattern for externally visible ring sets versus internal extensions, so staff can tell a customer call from a colleague, and a distinct pattern for no-answer versus on-hold, so staff can answer appropriately. Beyond that, consistency across the estate matters more than the specific tone.
Compliance and Accessibility Considerations
- Do not use music or announcements that could be distressing or misleading in a healthcare or crisis context
- Ensure announcements are spoken at a clear pace and volume, and tested on actual handsets rather than assumed
- Avoid high-pitched tones that are difficult for users with hearing loss
- Keep emergency and safety announcements clearly differentiated from routine hold audio
Redstone Approach
Redstone IP-PBX platforms support configurable hold music and announcements per ring group and queue, comfort announcements on silent hold, distinct ring patterns by call type, and announcement volume control per device. This allows a multi-site estate to standardise the approach while letting each site localise announcements where the wording must be specific to that location.
Redstone can advise on hold music and announcement configuration for your platform, including per-queue differentiation for different departments and sites.
