Logistics and Fleet Communications: Drivers, Dispatch, and Route Changes
Dispatch communicates with drivers who are driving, which is a fact the whole industry knows and almost no phone system is designed for. The call arrives at the worst moment, the driver cannot safely answer it, and the message is either lost or delivered in a way that creates risk. On top of that, every dispatch contact may be evidence: for hours of service, for delivery confirmations, for a dispute about when a route change was requested. This article covers how to design driver communication so that the message is delivered without creating danger, and the record is kept without adding friction.
Safety Before Convenience
The first principle of driver communication is that no message is worth a crash. That means contact attempts must be designed so that a driver can ignore them safely, and that dispatch knows the difference between a driver who is unreachable because they are driving and one who is unreachable because they are off. The system should make that distinction visible rather than leaving dispatch to guess.
| Design element | What it should do | Consequence of weak design |
|---|---|---|
| Contact attempt handling | Record attempts with time and outcome without forcing the driver to answer | Dispatch repeats calls because they do not know an attempt was made |
| Message delivery | Deliver messages in a way a driver can read safely at a stop | Messages read while moving, which is the worst outcome |
| Availability signalling | Let the driver indicate unsafe-to-answer rather than simply not answering | Dispatch escalates unanswered calls unnecessarily |
| Route change confirmation | Require confirmation of a route change with a recorded timestamp | Route changes disputed later with no record |
What to Record and Why
Dispatch contact records are not administrative overhead; they are the evidence that resolves disputes and proves compliance. The useful record is minimal and complete: who was contacted, when, what was requested, and what was confirmed. The design should make that capture automatic where possible, because drivers and dispatchers will not add detail to a call they are trying to end.
- Capture the time, the parties, and the outcome of each contact attempt
- Record route changes and delivery confirmations with a timestamp
- Keep the record simple enough that it is actually filled in
- Store records in a way that can be retrieved when a dispute arises
- Ensure records respect driver privacy and are retained for a defined period
Dispatch Workflow Shapes the System
Dispatch is a high-pressure function, and a phone system that adds steps to it will be used differently than the one designed. The design should follow the workflow dispatch actually uses: how they try to reach a driver, what happens if there is no answer, and how they escalate to the next option. A system designed for a workflow that does not match the reality of the dispatch floor will either be worked around or abandoned, and both outcomes are worse than having a simpler system that fits.
Redstone Approach
Redstone supports logistics voice deployments on the REX IP-PBX platform, including dispatch routing, driver contact recording, and message handling suitable for fleet operations. Our teams can help you map the dispatch workflow to the system, design contact attempts that are safe, and configure recording that meets your obligations. Fleet management platform integration is scoped in writing with your operations team.
Redstone Systems, Inc. founded in Delaware, USA in December 2002, has been the ODM vendor for many well-known communications companies, serving the Southeast Asian market. In 2020, Redstone Systems will begin to return to the North America market with its self-developed brand.
Redstone has a complete product line of intelligent voice gateways, providing IP-PBXs, analog VoIP gateways (FXS/FXO), digital VoIP gateways (E1/T1), border appliances, and session boundary controllers (SBCs).
With advanced technology in digital signal processor (DSP), speech coding and speech processing, as well as efficient operational tools such as cloud remote management, auto provisioning, Redstone gateways are widely used in markets of enterprise communications, cloud communications, call centers, operators’ IMS/SIP trunks, bringing users friendly, efficient and reliable communication experience.
