The Migration Challenge
Changing a business phone system affects every employee, customer, and business process that relies on communication. Pre-Migration Assessment

Network Readiness Evaluation
VoIP systems depend on network infrastructure that legacy phone systems didn't require. Evaluate network switching infrastructure including PoE capacity for IP phones, switch port availability, and VLAN capability for voice traffic segregation. Bandwidth assessment should consider both LAN and WAN capacity. Before full migration, deploy the new system to a pilot group of 10-20 users representing different departments and usage patterns. Pilot deployment validates that the system works as designed in the real environment and identifies issues before they affect the entire organization.
Pilot users should be tech-savvy and willing to provide feedback. Monitor their experience closely through call quality metrics, user surveys, and direct observation. Issues discovered during pilot are easier and less disruptive to fix than issues discovered during full deployment.
Cutover Approaches
Big bang cutover migrates all users simultaneously, typically during a weekend. This approach minimizes the period of dual-system operation but concentrates risk into a single event. If issues arise, all users are affected simultaneously. This approach suits smaller organizations or those with low communication dependency during off-hours.
Phased cutover migrates users in groups over days or weeks. Each phase migrates a department, floor, or location. This approach spreads risk across multiple cutovers, limiting the impact of any single issue. Phased approach suits larger organizations where simultaneous migration is impractical.
Parallel Operation
During transition, operate legacy and new systems in parallel. Forward calls between systems as needed. This approach enables gradual migration without a single high-risk cutover. Users can migrate to the new system in groups while remaining connected to colleagues still on the legacy system.

Post-Migration Support
First days after migration require intensive support. Deploy extra help desk staff, create quick-reference guides, and establish office hours for user questions. Common issues include password resets, voicemail setup, feature access codes, and phone hardware questions. Most issues are minor but feel significant to users experiencing them.
Conduct post-migration reviews after 30 days comparing new system performance against legacy baseline. Document cost savings, feature adoption, user satisfaction, and remaining issues. This review demonstrates migration success to stakeholders and identifies areas for ongoing optimization.
