Hunt Groups and Call Distribution Strategies
What are Hunt Groups?
Hunt groups are collections of extensions that receive incoming calls based on configurable distribution strategies. When a call arrives destined for a hunt group number, the phone system distributes the call to member extensions according to the selected strategy. Hunt groups enable teams - sales, support, reception - to share incoming call answering responsibility.

Common Distribution Strategies
Ring-all strategy rings all member extensions simultaneously when a call arrives. The first person to answer gets the call. This strategy ensures the fastest possible answer time since all available agents are alerted. It works well for small teams where everyone handles similar calls and competition to answer is acceptable.
Round-robin strategy distributes calls evenly among members in sequence. The first call goes to member 1, the second to member 2, and so on, cycling back to member 1 after the last member. This strategy ensures fair call distribution, preventing any single team member from receiving disproportionate call volume.
Longest-idle strategy routes calls to the member who has been waiting longest since their last call. This approach balances workload by giving calls to those who haven't had a call recently, ensuring all team members stay engaged while preventing any individual from being overwhelmed.
Priority-Based and Skills-Based Distribution
Priority-based strategies assign different priority levels to members. Senior staff or primary contacts receive calls first. If they're unavailable, calls overflow to secondary members. This strategy ensures experienced staff handle calls first while maintaining backup coverage during busy periods.
Skills-based routing extends hunt group concepts by matching callers to agents with specific expertise. Calls from Spanish-speaking callers route to bilingual agents, technical inquiries route to certified technicians, VIP customer calls route to account managers. This matching improves first-call resolution and customer satisfaction.
Hunt Group Configuration Considerations
Ring timeout determines how long a phone rings before the system tries the next member. Too short (5 seconds) causes calls to bounce between members without giving anyone time to answer. Too long (30+ seconds) frustrates callers waiting for an answer. Typical settings range from 10-20 seconds depending on team preferences.
Member availability affects hunt group effectiveness. If members forget to log out or set do-not-disturb when unavailable, calls ring phones of people who can't answer. Presence indicators showing member availability help the system skip unavailable members, routing calls only to those ready to answer.
Overflow and No-Answer Handling
When all hunt group members are busy or unavailable, overflow rules determine what happens next. Options include routing to voicemail, transferring to another department, sending to a mobile phone, or routing to a backup team. These overflow rules prevent callers from hearing endless ringing with no resolution.
For after-hours scenarios, hunt groups can be configured to route directly to voicemail or on-call personnel. Time-based rules switch hunt group behavior based on business hours, ensuring appropriate coverage during all periods.
